This job is for a Procurement Executive at The Makeover Guys! You’ll manage purchases, track deliveries, and help keep stock organized. You might like this job because you’ll play a key role in making sure operations run smoothly and efficiently!
As the Procurement Executive at The Makeover Guys, you will oversee all procurement-related operations. Your work will directly impact the revenue of the company and the efficiency of our supply chain. We welcome candidates from all races, religions, genders, sexual orientations, and ages to join us.
What You’ll Do:
- Monitor and document purchase orders (POs) to suppliers.
- Track delivery schedules and promptly alert stakeholders of any delays.
- Ensure all new and existing products/stocks are accurately updated in the system, including photos, specifications, and stock balances.
- Liaise closely with the warehouse team on stock balance, aging stock data, and all incoming and outgoing stock, including any return stock concerns.
- Perform and support ad-hoc and other procurement/warehouse initiatives.
Working Arrangement:
On-Site. Work closely with the Procurement Manager and Warehouse team.
Job Requirements- Fluency in English and Mandarin is a must.
- Fresh graduates are encouraged to apply. A background or experience in Procurement, Supply Chain, Business Administration, or a related field is an advantage.

We are seeking a meticulous and highly organised Documentation Executive to join our team. The successful candidate will be a critical support to the Director, responsible for managing essential financial reporting, tracking project costs, and overseeing the entire vendor claim process. This role requires exceptional attention to detail, strong analytical skills, and the ability to work with multiple teams and external vendors to ensure accuracy and efficiency in all documentation and reporting.
Key Responsibilities
- Financial & Sales Reporting:
- Assist the Director in the timely preparation and generation of weekly, monthly, and quarterly sales reports.
- Support the compilation and review of Profit & Loss (P&L) statements, ensuring all data is accurate and presented clearly.
- Project Cost Management:
- Diligently track and consolidate project cost breakdowns submitted by various internal teams.
- Prepare clear and concise summaries of project expenditures, highlighting key financial metrics for management review.
- Vendor Claim Management:
- Act as the primary point of contact to liaise with vendors, understanding their specific claim procedures for sales incentives and marketing funds.
- Efficiently manage and execute the entire claim submission process, ensuring all documentation is complete and submitted on time.
- Process Development & Training:
- Analyse and document the end-to-end claim workflow to establish a clear and efficient process.
- Develop a Standard Operating Procedure (SOP) and provide training to junior staff to delegate and assist with the claim process.
- Financial Reconciliation:
- Conduct a thorough monthly reconciliation of total vendor claims submitted against payments received.
- Investigate and resolve any discrepancies between submitted amounts and actual payments to ensure financial accuracy.
- Executive Reporting:
- Prepare and present a comprehensive monthly summary of the total claim status (claimed, received, outstanding) to the Director.
Education & Experience:
- A Diploma or Bachelor's Degree in Finance, Accounting, Business Administration, or a related field.
- Able to speak in English, Bahasa Malaysia and Mandarin
- Proven experience (at least 2-3 years) in an administrative, financial, or documentation-focused role.
- Experience in handling financial reports or claims processing is a strong advantage.
Technical Skills:
- High proficiency in Microsoft Office Suite, with advanced skills in MS Excel (e.g., VLOOKUP, PivotTables, complex formulas) being essential for reporting and analysis.
- A basic understanding of accounting principles (P&L, costs, revenue).
- Experience in creating process documents or Standard Operating Procedures (SOPs).
- Meticulous Attention to Detail: Absolutely crucial for accurate reporting, cost tracking, and financial reconciliation.
- Strong Organisational Skills: Ability to manage multiple tasks, prioritise deadlines (weekly, monthly, quarterly), and maintain well-organised records.
- Excellent Communication Skills: Professional verbal and written communication skills for liaising with vendors, internal teams, and reporting to senior management.
- Analytical & Problem-Solving Mindset: The ability to analyse data, identify discrepancies, and proactively find solutions.

Responsible for accurate and complete planning and purchasing of material supplies for all purchasing/release functions related to capacity planning, ordering, expediting, and procurement as assigned. - Communicate precisely and interactively with Project and Accounting teams to resolve process and cost issues.
- Support physical and spot-check inventory processes.
- Maintain accurate and complete records of the chain of custody documentation for all purchases.
- Provide support and input to managers in pricing, supplier selection, and contract compliance. Issue requests for proposals (RFPs) and requests for quotes (RFQs).
- Ensure PO/contract compliance and insurance adequacy as necessary to maintain a constant flow of material delivery to project sites.
- Control inventory costs to achieve profitability targets.
- Monitor the receipt of inventory, ensuring proper invoices and/or credits are submitted to the Accounts Payable department.
- Act as a liaison between internal and external customers, freight carriers, and the shipping department.
