TTo manage and coordinate all activities related to the supply chain, export logistics, and purchasing ensuring smooth procurement of materials, efficient inventory flow, and timely export of finished products in compliance with company, customer, and regulatory requirements.
Responsibilities:
1. Supply Chain Planning & Coordination
- Plan and monitor the entire supply chain process from purchasing raw materials to exporting finished products.
- Coordinate with Production, Warehouse, QA, and Sales teams to ensure materials and products are available according to production and delivery schedules.
- Monitor inventory levels and ensure optimal stock control to avoid shortages or overstocking.
- Maintain accurate and up-to-date records in the ERP system for traceability and reporting.
2. Purchasing & Supplier Management
- Source, negotiate, and purchase raw materials, ingredients, packaging materials, and supplies needed for production.
- Obtain competitive quotations and prepare Purchase Orders (POs) in accordance with company procedures.
- Evaluate supplier performance based on quality, cost, delivery time, and reliability.
- Liaise with suppliers to ensure timely delivery and resolve any discrepancies in quantity or quality.
- Maintain updated supplier databases, pricing lists, and contract agreements.
3. Export Operations & Logistics
- Handle all export documentation such as invoices, packing lists, export permits, health certificates, and certificates of origin (CO, Form D, Form E, etc.).
- Liaise with freight forwarders, customs agents, and logistics providers to ensure timely and cost-effective shipments.
- Ensure all export activities comply with import/export regulations and destination country requirements.
- Track and monitor shipment status, resolve delays, and provide updates to customers.
- Coordinate with Sales and Finance on export pricing, shipping arrangements, and payment terms.
4. Inventory & Warehouse Coordination
- Monitor and manage stock levels for both raw materials and finished goods.
- Ensure accurate inventory records and implement FIFO/FEFO system.
- Work with warehouse personnel to plan space utilization and ensure proper product handling and storage.
- Conduct periodic stock counts and reconcile any variances.
5. Documentation & Compliance
- Maintain complete and accurate records for purchasing, shipping, and customs documentation.
- Ensure compliance with ISO 22000, FSSC 22000, HACCP, GMP, and Halal requirements in material sourcing, packaging, and export handling.
- Support internal and external audits related to supply chain, purchasing, and export processes.
- Prepare regular reports on purchasing cost, delivery performance, and export activities.
6. Cost Control & Continuous Improvement
- Monitor procurement and logistics costs to identify savings opportunities.
- Suggest improvements to supply chain and export processes for greater efficiency.
- Support management in budgeting, cost analysis, and vendor evaluation.
Requirements:
- Diploma/Degree in Supply Chain Management, Business Administration, Logistics, or related field.
- Minimum 2–4 years of experience in purchasing, logistics, or export operations, preferably in food manufacturing or FMCG.
- Good understanding of import/export documentation, Incoterms, and shipping procedures.
- Familiar with ERP or inventory management systems.
- Strong negotiation, coordination, and communication skills.
- Proficient in Microsoft Excel and documentation control.
- Detail-oriented, organized, and able to work under tight deadlines.
- Knowledge of vegetarian/plant-based ingredients and food safety standards (ISO 22000, FSSC 22000, HACCP, GMP) is an added advantage.

SUMMARY OF ESSENTIAL FUNCTIONS:
We are seeking an experienced Supply Chain Manager to lead and oversee the end-to-end supply chain operations at our advanced manufacturing site in Johor. This site produces high-precision sub-assemblies and X-ray scanning machines. The role covers Material Planning and Purchasing, Production Planning and Scheduling, 3PL Warehouse and Inventory Management, Import/Export Compliance, Inbound and Outbound Logistics, and Customer Order Fulfillment.
The ideal candidate is data-driven, process-oriented, and passionate about operational excellence. They will lead a multidisciplinary team and collaborate closely with internal departments and global stakeholders to drive supply chain efficiency, cost-effectiveness, and service performance.
SPECIFIC DUTIES, ACTIVITIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
- Lead the full supply chain function across planning, procurement, logistics, warehouse, and order fulfillment operations.
- Drive improvements in core KPIs, including inventory turnover, on-time delivery (OTD), logistics cost efficiency, schedule adherence, and order accuracy.
- Develop and implement scalable processes to support factory growth and supply chain maturity.

Qualifications
POSITION REQUIREMENTS:
Education:
- Bachelor's degree in engineering, Supply Chain Management, or related discipline.

Experience:
- Minimum 12 years of relevant supply chain experience within a manufacturing environment, preferably involving complex assemblies or capital equipment.
- Substantial exposure to at least three functional areas among planning, purchasing, logistics, warehousing, and customer order management.
- At least 4 years in a managerial or team leadership role with proven people development capability.
