- Perform general administrative duties, including answering phones, scheduling appointments, and managing correspondence.
- Maintain office supplies and inventory, placing orders as necessary.
- Assist in the preparation of reports, presentations, and other documents.
- Organize and maintain electronic and physical filing systems.
- Support staff with various tasks and projects as needed.
- Handle incoming and outgoing mail and packages.
- Coordinate meetings, including preparing agendas and taking minutes.
- Manage travel arrangements and itineraries for staff.
- Maintain confidentiality of sensitive information.
- High school diploma or equivalent; associate or bachelorâs degree preferred.
- Proven experience as an administrative assistant or in a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Detail-oriented with a proactive approach to problem-solving.
- Ability to work independently and as part of a team.

Applicants should possess a strong Bachelor's degree and at least 3 years of relevant work experience, including experience in managing medium-sized teams. A Master's degree is an advantage. Excellent written and spoken English and Chinese (including Mandarin), along with strong communication, IT, and organizational skills, are essential. The candidate must also demonstrate a high level of administrative competence. Preference will be given to candidates with a background in STEM or International Relations, as well as experience in fundraising and engagement with high-level stakeholders.
The appointee will manage and organize large-scale conferences and events for the HKU Musketeers Foundation Institute of Data Science and the Center for Interdisciplinary Dynamics: Ethics, AI, and Society.
The Appointee Will Be Responsible For
Project planning, including timelines and deliverables; Budgeting, financial reporting, and accounting; Stakeholder management; and Event promotion.
A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. Shortlisted candidates will be invited to attend a written test and an interview. Those with less experience may be appointed as
Executive Officer.
