We are seeking a highly organized and motivated Administrative Assistant to join our team.   • Maintain office supplies and inventory, placing orders as necessary.
  • Assist in the preparation of reports, presentations, and other documents.
  • Organize and maintain electronic and physical filing systems.
  • Support staff with various tasks and projects as needed.
  • Handle incoming and outgoing mail and packages.
  • Coordinate meetings, including preparing agendas and taking minutes.
  • Manage travel arrangements and itineraries for staff.
  • Maintain confidentiality of sensitive information.

Job Requirements

  • High school diploma or equivalent; associate or bachelorâs degree preferred.
  • Proven experience as an administrative assistant or in a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Detail-oriented with a proactive approach to problem-solving.
  • Ability to work independently and as part of a team.

Support internal meetings and company events by coordinating dining and hospitality arrangements. 5. Catering & Vendor Coordination Liaise with caterers, event organizers, and suppliers for food and beverage services. Recommend suitable menus and vendors based on event needs and budget. Monitor service quality and ensure timely delivery. 6. Cleaning Oversight Supervise office cleanliness by checking cleaner schedules and ensuring duties are completed. Report and follow up on any cleanliness or facility-related issues. Job Requirements: Minimum SPM qualification or equivalent. Proficient in both English and Bahasa Malaysia; ability to understand Mandarin is an added advantage. Pleasant personality with a strong sense of responsibility and cleanliness. Administrative Assistant II / Executive Officer in the HKU Musketeers Foundation Institute of Data Science

(Ref.: ) (to commence as soon as possible on a temporary basis for 8 months )

Applicants should possess a strong Bachelor's degree and at least 3 years of relevant work experience, including experience in managing medium-sized teams. A Master's degree is an advantage. Excellent written and spoken English and Chinese (including Mandarin), along with strong communication, IT, and organizational skills, are essential. The candidate must also demonstrate a high level of administrative competence. Preference will be given to candidates with a background in STEM or International Relations, as well as experience in fundraising and engagement with high-level stakeholders.

The appointee will manage and organize large-scale conferences and events for the HKU Musketeers Foundation Institute of Data Science and the Center for Interdisciplinary Dynamics: Ethics, AI, and Society.

The Appointee Will Be Responsible For

Project planning, including timelines and deliverables; Budgeting, financial reporting, and accounting; Stakeholder management; and Event promotion.

A highly competitive salary commensurate with qualifications and experience will be offered, in addition to annual leave and medical benefits. Shortlisted candidates will be invited to attend a written test and an interview. Those with less experience may be appointed as

Executive Officer.
