Position : Sales Admin
Location : Balakong, Selangor
Salary : RM3,500 to RM4,500 (including allowances)
Working Hours : Monday – Friday, 8:00 AM – 5:30 PM

Key Responsibilities :

  • Support the Sales Admin Manager and assist with daily administrative tasks.
  • Respond to email correspondences and handle incoming phone inquiries.
  • Ensure data accuracy in systems (e.g., product names, serial numbers, prices).

Requirements :

  • Diploma or equivalent.
  • At least 3 years' experience in secretarial/administrative roles, proficient in MS Office (Excel).
  • Fluent in English and Mandarin (preferred to interact with Mandarin-speaking clients).
  • Knowledge of SAP is an added advantage.
  • Female candidates aged 20-40 are preferred.
  • Must be Malaysian or have relevant residency.
  • Immediate joiners are prioritized.

Job Purpose:

The Senior Order Processing Coordinator is a primary point-of-contact for the Sales Teams, Country Operations Lead, Finance and Logistics. This position primarily covers Sales and/or PO Orders processing for various vendors with required supporting documents focusing on mega deals. This position requires follow-up with vendors on orders status and provide the information to Logistic team for delivery arrangement. This position requires mentoring of new/existing team members and extend support to manager/team lead in issues and inquiries.

Responsibilities:
  • To validate supporting document and process Sales Order request of complex/mega deals

  • Analyse issues, propose solution and work on error rectification in system.

  • Guide and mentor new/existing team members

  • Participate in process improvement project and discussions.

  • Extend support and assistance to manager/team lead on issues/inquiries.

  • To validate supporting document and process complex/mega deals order within SLA

  • To assist team members in reducing order requests backlogs

  • Mentor new/existing team members

Knowledge, Skills and Experience:
  • 3 to 5 Years of relevant work experience.

  • Bachelor's Degree with Business/IT/Supply Chain Field of Study preferred.

  • Able to execute instructions and to request clarification when needed.

  • Possesses strong data entry skills.

  • Able to perform basic mathematical calculations.

  • Able to recognize and attend to important details with accuracy and efficiency.

  • Able to communicate clearly and convey necessary information.

  • Able to converse and write effectively in English.

  • Able to interact effectively with all levels of management.

  • Possesses strong multi-cultural interpersonal skills.

  • Able to constructively work under stress and pressure when faced with high workloads and deadlines.

  • Able to work independently with minimum supervision.

We are looking for an Order Processing Executive to support processing orders in compliance with company guidelines, monitoring order activities, procurement of equipment and services, and invoicing.

What you'll be doing:

  • Review and process orders for trucks and warehouse equipment
  • Handle local procurement of accessories, attachments & services
  • Create and monitor purchase orders and ensure all invoices are received on a timely basis
  • Provide updates on delivery schedules/ shipment date
  • Highlight and escalate when the Truck Readiness from Factory is out of expected range
  • Perform Stock revaluation & goods receipt
  • Perform Goods issuance, serialization with full data creation in SAP, local delivery, and invoicing
  • Ensure processing and monitoring of orders and purchases through SAP system and various reporting structures
  • Work closely with different functions, including inside sales for order processing flow, and workshop team to a ensure smooth supply chain process
  • Execute continuous improvement projects assigned to team
  • Assist with ad-hoc duties and reports, as & when assigned by superior/ the Management Team

What we look for:

  • Minimum Degree in Business Administration or equivalent
  • Minimum 2 years of relevant working experience in order management, supply chain or logistics related roles
  • Proficient in English and local language
  • Proficient in MS Office application especially MS Excel
  • Experience in SAP ERP is added advantage
  • Experience in custom clearance and international shipment is added advantage
  • Strong organizational skills and good time management skills
  • Strong process management skills, structured and high attention to details
  • Good negotiation and stakeholder management skills

These are the skills you'll need

  • Diploma or Degree in Supply Chain or Logistics.
  • Proficient in English.
  • Minimum 3 years' experience in supply chain or order fulfilment environment.
  • Strong PC and software knowledge (MS Word, Excel, PowerPoint, MS Office.
  • Knowledge of SAP (SD Module, Stock, Procurement).
  • Good knowledge in incoterm and freight management.
  • Provide efficient and effective Customer Service to internal and external Customers.
  • Responsible for South East Asia region Order Processing and Shipping arrangement.
  • Ensure on-time delivery based on customer request delivery date.
  • Maintain strong collaboration with Manufacturing Factory or external suppliers.
  • Possess Prioritization Skills and Ability to make informed decisions.
  • Strong communication skills and good interpersonal skills.
  • Possess Team Player ability.
  • Excellent analytical, problem solving and organizational skills.

Job Purpose:

The Senior Order Processing Coordinator is a primary point-of-contact for the Sales Teams, Country Operations Lead, Finance and Logistics. This position primarily covers Sales and/or PO Orders processing for various vendors with required supporting documents focusing on mega deals. This position requires follow-up with vendors on orders status and provide the information to Logistic team for delivery arrangement. This position requires mentoring of new/existing team members and extend support to manager/team lead in issues and inquiries. Responsibilities:

To validate supporting document and process Sales Order request of complex/mega deals

Analyse issues, propose solution and work on error rectification in system.

Guide and mentor new/existing team members

Participate in process improvement project and discussions.

Extend support and assistance to manager/team lead on issues/inquiries.

To assist team members in reducing order requests backlogs

Mentor new/existing team members

These are the skills you'll need

Diploma or Degree in Supply Chain or Logistics. Proficient in English. Minimum 3 years' experience in supply chain or order fulfilment environment. Strong PC and software knowledge (MS Word, Excel, PowerPoint, MS Office. Knowledge of SAP (SD Module, Stock, Procurement). Good knowledge in incoterm and freight management. Provide efficient and effective Customer Service to internal and external Customers. Responsible for South East Asia region Order Processing and Shipping arrangement. Ensure on-time delivery based on customer request delivery date. Maintain strong collaboration with Manufacturing Factory or external suppliers. Possess Prioritization Skills and Ability to make informed decisions. Strong communication skills and good interpersonal skills. Possess Team Player ability. Excellent analytical, problem solving and organizational skills. Natural influencer, capable of conveying concepts and ideas. Manage 3PL performance.
