Your daily tasks include assisting our corporate travel consultants on clients business travel enquiries, arranging air, car, hotel, and ground transportation reservations, or assisting our clients to onboard to our technology platform.

The daily task will include but not limited to:

  • To provide LCC quotations for the team / To secure booking & create passive segment in the GDS upon the client confirmation
  • To provide hotel quotations for the team within policy/ To secure & create passive segment for the booking made once the clients confirm with the option
  • To liaise with the suppliers such as hotels on payment arrangements for the travelers (Billback via Conferma/WEX/Direct payment )
  • To liaise with the airlines on the ancillary request (Seat/Baggage/Meal/Changes)
  • To issue travel insurance
  • To assist with invoicing, processing refunds and sending credit notes to clients
  • To update invoicing details for finance reconciliation purpose
  • To check team queues
  • To assist team with accurate reporting and raising requests when the errors are found
  • To liaise with visa centre on visa & health checks for travel and obtain quarantine requirement & quarantine hotel arrangements for respective countries
  • Quality Control - User Acceptance Testing on technology platform for national clients
  • Quality Control - User Acceptance Testing on technology platform with internal GDS team.
  • To follow up response with Online Booking Tool (OBT) support / troubleshooting on the ticket raised.
  • To assist team with accurate reporting and raising requests when errors are found
  • To assist team with general administrative work


Requirements:

  • Fresh graduates are welcome to apply
  • Strong ability to listen and communicate in English (verbal and written)
  • Positive and friendly attitude with passion for delivering amazing customer service
  • Acts with honesty and integrity
  • Organized, with a strong attention to detail

About The Opportunity

At FCM, our aim is to make the complex simple. As a Corporate Travel Consultant, your opinions are highly valued by our busy corporate clients. You will assist clients with business travel arrangements including air, car, hotel, and ground transportation reservations by suggesting the best solutions. Our global reach and negotiating power allow us to source competitive prices on airfares, car rentals, and hotels. Each request is unique and tailored to the client's requirements, ensuring no two cases are the same.

On top of that, you need to:

  • Follow company procedures, account guidelines, and customer service standards in making travel arrangements, building Passenger Name Records (PNRs) and profiles, ticketing, exchanges/changes, and booking hotels and cars in GDS.
  • Relate to clients at various organizational levels using diplomacy and tact.
  • Bring prior experience in a corporate operations environment, with expertise in ticketing, scripting, changes, exchanges, and handling complex multi-segment international fares and PNRs.
  • Demonstrate strong curiosity about travel destinations, excellent communication skills, and strong knowledge of geography and GDS systems to provide world-class customer service.

In this Role, you’ll get to

  • Oversee team’s daily operations, ensuring targeted operation KPIs are achieved.
  • Monitor team’s changing service level and perform appropriate onsite management.
  • Supervise staff KPI and oversee individual performance to enhance service quality.
  • Cooperate with higher management to pursue alignment with Trip.com Group and Corporate Travel HQ's strategic objectives, and coordinate with HQ on system and policy updates.
  • Work closely with business leaders to gather a comprehensive understanding of their requirements, and provide data and documentation as requested promptly.
  • Deal with complaints and emergencies, until customers’ problems have been fully resolved.
  • Analyze complaint and NPS cases involving product or service defects, and share with relevant teams to improve Trip.Biz products and services.
  • Focus on HQ’s quality assurance standards and strive for excellent service quality.

What you'll Need to Succeed

  • Have full command of major GDS and other standard operational systems in the industry.
  • At least 3 years of experience in a travel management company with a strong understanding of the business travel industry, including 1 year of experience as a team leader or in a similar role.
  • Previous experience in complaints handling and escalation.

On top of that, you need to

  • Follow company procedures, account guidelines and customer service standards in the areas of: making travel arrangements, building Passenger Name Records (PNR's) and profiles, ticketing, tickets exchanges/changes, booking hotels and cars in GDS.
  • Able to relate to clients at various levels within their organizations using diplomacy and tact
  • You will need to bring in prior experience in Corporate operations environment, with experience in ticketing, scripting, changes and exchanges to complex multi-segment international fares and Passenger Name Records (PNR's).
  • Demonstrating a strong curiosity in keeping yourself updated with travel destinations, strong communication skill, possess excellent geography and GDS knowledge are second nature to you. This will empower you to provide our clients with a world class customer service experience.

The purpose of FCM Asia Hub travel consultant is to fulfil travel requests from our corporate customers in a way that adheres to the FCM minimum standards, maximizes FCM’s profit, growth and margin objectives while also delivering a professional standard of service that exceeds the expectations of our clients. The position is customer service oriented and involves working towards achieving a service level agreement and providing world class travel service assistance to our corporate travelers.

The role involves working a 40-hour week in rostered shifts to cover afterhours shift including overnight, weekends and public holidays.

Responsibilities:

  • Follow FCM Sales Process and deliver service within agreed SLA.
  • Listen to, and interpret customers’ requirements correctly; give options while considering directness of routing, cost, airline preferences and client travel policy.
  • Ability to recommend the best travel and flight route to clients to assist them to get to their destination at the designated time for their business meeting in a fast and efficient manner using the Global Distribution System (GDS).
  • Action bookings, including invoices accurately and within agreed time frame (As per client SLA & company policy)
  • Ensure quotes, itineraries, and travel documents are professionally presented, thoroughly checked, delivered on time and error free.
  • Ensure clients are serviced correctly and professionally according to Operational Excellence standards.
  • Communicate to customers, colleagues and suppliers in a clear, professional and easy to understand manner – both verbally and in writing.
  • Handle service issues & complaints in a courteous, timely, solution focused and professional manner.
  • Ensure clients’ travel policy is accurately applied to all reservations on the Global Distribution System called Amadeus.
  • Able to interpret various airlines fare rules and understand the restrictions around the various class of airline tickets.
  • Ensure all reservation data and back office data is recorded accurately.
  • Ability to work on rotating shift including overnight, weekends and public holidays
  • Strong experience in Global Distribution System with Amadeus experience preferred
  • Strong knowledge of all the airlines fare rules and able to interpret and translate in simple terms for clients
  • Ability to issue tickets including processing re-issuances, changes, cancellation and refunds
  • Ability to construct complex travel itineraries that is costs efficient in accordance with clienteles travel policy
  • Strong ability to listen and communicate in English both verbally and in
  • Able to produce clear, well written business emails
  • Able to demonstrate basic mathematic skills
  • Motivated to achieve customer satisfaction and able to handle difficult situations involving customers
  • Thorough knowledge of the travel industry and associated products, services and travel consultant processes
  • Highly organised. Able to set goals/plans with the drive to achieve them
  • Ability to work efficiently and accurately in a fast-paced environment
