Client & Media Vendor Relationship Management:
- Foster and nurture positive relationships with clients through regular communication, responsiveness, and addressing inquiries, concerns, and requests related to media reporting.
- Coordinate and educate media vendors on client acceptance procedures, ensuring a smooth and efficient process.
- Act as the primary point of contact for client interactions and collaborate with internal teams to deliver accurate reporting.
- Maintain positive relationships with media vendors.
- Ensure prompt payment to media vendors.
- Ensure the punctual submission of media reports, meeting both client expectations and internal deadlines.
- Collaborate closely with the finance team to ensure accurate and timely billing completion for media vendors
- Facilitate effective communication and collaboration between local and regional teams.
- Work closely with campaign manager, planners, and finance teams to guarantee the timely submission of media reports.
- Diploma/Bachelor's degree in Marketing, Business, or a related field.
- Proven experience in client servicing, administrative, finance related roles.
- Demonstrate a keen attention to details in aspect of media reporting to maintain quality of deliveries.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite, especially Excel, and experience with reporting tools is a plus.

What your typical day will look like:
As the Operations Executive for Media Operations, your role is to support the Client Leaders, their team, and the Operations Managers by providing operational support of one or more elements of the end-to-end client lifecycle, from onboarding through offboarding, as well as billing, processes, budget maintenance, reporting, and audit.
Core responsibilities include:
- Client Engagement & Process Improvement – Maintains relationships across Media Operations, gathers feedback for continuous improvement, and ensures adherence to processes and SOPs.
- Client Onboarding & Offboarding – Supports smooth transitions for client operations, ensuring proper management from onboarding to offboarding.
- Billing & Budget Management – Approves invoices, reconciles media deliveries with suppliers, conducts billing audits, and ensures budget tracking through MPAs and other financial references.
- Operational Efficiency & Compliance – Maximizes offshoring utilization, contributes to SOP documentation, enhances operational KPIs, and provides additional support as needed.
- Technical Skills & Expertise – Strong proficiency in Microsoft Excel (Pivot Tables, VLOOKUP) with experience in billing, financial tracking, or procurement systems.
- Media & Financial Knowledge (Preferred) – Understanding of media operations, budgeting, invoicing, and supplier reconciliation is an advantage.
- Client & Stakeholder Management – Ability to build relationships, support client onboarding/offboarding, and ensure process adherence.
- Operational & Process Efficiency – Strong analytical, problem-solving, and multitasking skills to enhance SOPs, optimize workflows, and improve financial and operational processes.

• Create and maintain Material Requirements for campaigns, including liaising with content providers and vendors to ensure smooth delivery of campaign materials to vendors
• Ensure the best in class process is adhered to for all campaign operations
• Work closely with all team members to improve working efficiency and effectiveness
• Learn new tools and delivery technologies to maximize campaign performance
• Develop strong relationships with Non-Biddable traditional & digital media vendors, media owners, Ad Serving and Ad Technology’s partners to capitalize on their product offering, key differentiation and technical Ads specifications
• Contribute actionable insights and analysis to mid and post campaign reports to improve in-flight optimizations and future campaign brief recommendations
• Be the key point of contact with the finance team on client invoicing and vendor payment issues

ResponsibilitiesBilling Admin
- Manage the media billing processes which involves,
- Co-coordinating with media planning teams on billing instructions
- Media plan actualization and reconciliation on monthly basis
- Update spots and remarks on Publicis’s proprietary billing platform based on actualized amount
- Generate proforma invoices for shared service team’s approval
- Resolving billing discrepancies with relevant stakeholders e.g. media vendors, media, finance and shared service teams
- Billing status monitoring and reporting
- Participate in finance WIP billing meetings to make sure Client's invoices get processed and meet billing timelines
- Other billing requirements include,
- Support requirements for onboarding of new suppliers
- Ensure 100% billing completion within three months of activity end date
- Resolve/respond to client billing queries
Media Buying (Offline and/or Online)
- The day-to-day media buying for the agency
- Deliver excellent master contract pricing through negotiation and relationships with media owners, wherever applicable
- Develop understanding of client business and role of online in delivering objectives ways of working from planning to getting approval and billing process
- Deliver added value opportunities across clients wherever possible
- Book all campaigns according to the brief (with confirmed media) and ensure financials are correct
- Monitor campaign delivery and reconcile any under deliveries
- Assist with auditing process across specific client base
- Follow through the closed job for invoicing process (incl. (proof of ads, supplier invoices, TV reporting, signed schedule)
- Constantly monitor performance and delivery of ad server and vendor reporting
- Monitor and report on clients’ expenditure update by campaign by media, if needed
- Keep track of clients’ media master contract fulfilments
- Prepare CI for all mediums and help Planners manage all material submission timelines
- Maintain co-ownership of WIP report with finance team, ensure that jobs are progressively reconciled and closed
Qualifications
- A minimum of 1-3years experience inmedia agency handling media trafficking or buying. Familiar with and have worked with the major publishers
- Proficiency in offline buying. Preferably has experience with online buying (both self-served and managed service) and digital ad operations
- Strong in numbers and intermediate skills in Microsoft Excel (such as pivot table and v-lookup)
- Analytical and meticulous with an excellent eye for details
- A team player with an action-oriented mind-set, who is able to work with minimal supervision
- Eager to learn and to be an expert on billing tools and systems
