Our Role

Located at our Malaysia Regional Office in Mutiara Damansara, Petaling Jaya and reporting to the Director of Logistics and Customer service. This position is responsible for Graymont’s Asia Pacific bulk and containerized shipping and warehousing activities and ensuring the safety and efficient management of all activities. Develop, procure, and manage all Import/Export activities across Asia Pacific with a key focus on the development and execution of safe, cost effective and scalable supply chains across the Graymont Asia Pacific network.

Monday to Friday, Office Hours and flexible and hybrid arrangements (work from office and home)

Key Focus Areas the Role Will Include:

As the Asia Pacific Shipping Manager, you will:

  • Across APAC, design and establish bulk and containerized export and Import supply chains encompassing the procurement of services through delivering, monitoring and reporting on the performance of those supply chains.
  • Across APAC, procure and manage third-party import/export warehouses and suppliers
  • Within Malaysia, have ownership of all Export/ Import Permit requirements, including accountability, to ensure all permits are valid.
  • Within Malaysia manage the Export / Import documentation process, including delivery through internal or external resources to ensure that the required documentation to ensure all export requirements are met.
  • Across APAC, monitor the agreed inventory levels and operational expenses at all 3rd parties export/import warehouses, to ensure alignment with agreed budgets.

Ideally, the successful candidate will have the following attributes and qualifications:

  • The successful candidate will need to demonstrate hands-on experience in container and bulk shipping supply chains, covering procurement and supplier management.
  • Being a self-starter, and an innovative progressive thinker with the ability to work with minimal direct supervision is a key requirement for this role.
  • The role will also require an experienced, results-oriented professional in managing and operating warehouses activities as well as Knowledge and exposure to logistics regulatory documents and systems.
  • A degree or professional education in logistics, supply chain management and similar. A valid driver’s license and passport are required for this role.

The new role:

  • Container vessel’s Operations: vessel’s scheduling, voyage planning, slot
  • allocation, and ensuring vessels are properly maintained and equipped.
  • Negotiation: negotiating with shipping lines, container terminals, freight forwarders, container depots and port authorities to secure favorable rates and terms.
  • Logistics and Supply Chain: Deepen cooperation with freight forwarders, NVOCC, SOC owners, etc. to fulfill requirements of shipping liners to expand market shareand open new routes.
  • Documentation: Ensuring accurate and timely preparation of shipping documentation, such as Booking Confirmation, Bill of Lading, Pre-Alerts, Notices of Arrival (NOA) and Delivery orders (DO).
  • Team Leadership: Managing and motivating a team of shipping professionals, including operations staff, port agents, depot staff, and other support personnel.
  • Cost Management: Monitoring and managing costs associated with shipping operations, including port fees, shipping agency fee, depot operation fee and other expenses.
  • Reporting: Preparing and analyzing operational reports, verifying port and vendor bills, and coordinating with authorities.
  • Facilitate Relationships: Collaborate with our team members, shipping liners, third-party agents to ensure efficiency, excellent customer service and creative problem resolution.
  • Build great relationships with shipping liners, customers, responding timely and
  • Following up on issue resolution.
  • Provide reporting and documentation support to shipping liners, customers, etc.

Requirements:

  • Resourceful, proactive, presentable, and with a positive attitude.
  • At least 2 years of work experience in the shipping liner company/ freight forwarding/NVOCC. ·
  • Good understanding of shipping and logistics, as well as export/import documentation and procedure.
  • Proven track record of strong customer service skills, interacting with customers and being client focused.
  • Excellent follow up with customers and the network. ·
  • Critical-thinking, flexibility, and problem-solving skills to adapt to ever-changing tasks and customer needs.
  • Ability to work in a fast-paced and deadline-driven environment. ·
  • Basic PC knowledge, with the ability to quickly adapt to new software applications and usage of Microsoft Excel.
  • Bachelor’s degree or above is preferred.

  • Provide technical insights and functional expertise in cross-module processes involving MM, SD, and TM.

  • Integration & Interfaces
  • Manage interfaces and integrations with ERP, third-party logistics (3PL), automation systems, and RF (Radio Frequency) devices.

  • Qualifications:

    Risk Management and Compliance:

    Qualifications:

    • Bachelor’s in Supply Chain, Logistics, Business Admin or related; Master’s or certifications preferred.

    • Ability to engage in outdoor activities regularly.

    The Position

    Role Purpose
    As the Supply Chain Lead, you will be the End to end accountable person for the availability of supply in the Malaysia market and subsequently the availability of goods to our end customers.
    You will be the single touch point to our 3PL partner, to ensure our 3PL perform their duties as per Roche’s expectations; while ensuring internal and external customer satisfaction.

    In this role, you will

    • Be responsible for high quality of Supply Chain service to our customers, both
    • internal and external
    • Ensure execution of tasks of the Supply Chain process are fully monitored and
    • controlled
    • Oversee the quantities to be ordered with the Demand Planning Partner to determine how much is to be imported each month, with educated input from Sales and Marketing team
    • Purchases forecast to be imported every month based on historical sales and the stock availability as well as following ordering schedule of Mannheim
    • Drive S&OP Processes to surface issues faced by Sales team, and pro-actively solve them
    • Stock taking at warehouse to ensure book & physical stock reconciliation at least 2x/year
    • Take proactive approach in optimizing stock levels and minimize write-offs resulting from expired/overstocking
    • Manage bottleneck/supply issues with customers by managing customers’
    • expectations and deciding stock allocation in the market
    • Challenge and work closely with 3PL partner to ensure fulfilment of duties
    • Ensure implementation/improvement plans internally within SCM and with 3PLs are tracked and monitored
    • Roll out projects and drive uptake/implementation from customers and obtain buy in from internal stakeholders
    • Any other tasks or projects as assigned from time to time
