Job DescriptionEnsuring all goods, services and materials received into the company are processed on a daily/timely manner, from receipt at goods inwards through to stores, out into production, from production to the finished goods stores and then into dispatch.
Responsibilities:
- Plan-organize-monitor all shipping activities, both inbound and outbound from/to suppliers and customers.
- To liaise-manage all transactional and operational matters with the Malaysian Royal Customs, ensuring compliance to both statutory and in-company import and export requirements and policies
- Gather quotations and co-ordinate shipment of return to vendor items
- To ensure all shipping orders are processed and completed timely to customer requirements
- To manage administrative and documentation requirement of job and ensuring proper postings into prevailing systems, eg.SAP
- Liaise with Freight Forwarders and OTI teams to arrange collection of shipments from Smiths Detection Malaysia.
- Main person in charge for EDI and paper filing relating to trade compliance documentation as per LMW requirements
- Any other related job assigned from time to time, in accordance business needs / legal requirements
- Ensure stock accuracy between system and physical for finished goods and accessories
- Comply / ensure department compliance with Company health, safety and environmental policies.
- To support on and be trained as either a main administrator or backup on routine trade compliance documentation submission
- Monitor daily performance of packaging service provider and ensure performance issues are escalated appropriately.
- Perform SAP transactions for material movements and accessory kits
- Maintain tracker for outbound shipments to validate against TRAX invoices
- Other duties as required
- Have some working knowledge / exposure in shipping, logistics, import-export, customs liaison, LMW-PC1-PC2 licensing and related experience.
- Understanding of computer software packages, i.e. Windows, Database.
- SAP experience
- Flexible attitude to work methods and practices.
- Able to work on own initiative.
- Have legible handwriting.
- Must have a methodical and practical approach to work.

Key Responsibilities:
- Prepare and process shipping documents, including invoices, packing lists, and labels, ensuring accuracy and compliance with company policies.
- Communicate with shipping companies, freight forwarders, and other logistics providers to arrange Incoming and Outgoing shipments, optimizing schedules to meet customer requirements.
- Able to handle sea, air and land freight arrangements. Familiar in managing FCL and LCL shipments. Manage and monitor local trucking leadtimes and track deliveries.
- Inspect outgoing shipments to ensure that the correct items and quantities are being shipped, and that all products meet quality standards.
- Collaborate with inventory and warehouse teams to ensure that stock levels are sufficient to fulfill orders and that inventory records are up to date where necessary.
- Coordinate with crating vendor (If required) for any outgoing shipment preparations, crating readiness per shipment plans
- Maintain and ensure accuracy of shipment tracking and perform monthly validation and audit
- Monitor and track shipments, providing updates to customers and internal teams on the status of deliveries.

Qualifications:
- Diploma (minimum) or Degree holder (plus) in any field with 5-7 years of experience in a similar role, preferably in a Manufacturing environment; additional qualifications in logistics, supply chain management, or related field are a plus.
- Strong organizational and communication skills, with a keen attention to detail and the ability to multitask effectively.
- Proficiency in using shipping software and inventory management systems; intermediate computer skills.

Job Description
Ships completed units and parts to customers utilizing various carriers in a timely manner. Works under direct supervision.
RESPONSIBILITIES:
- Verifies model and serial numbers and item description on the unit against shop traveller accompanying the unit. Notifies the requestor if numbers do not match.
- Packages/inspect material appropriately for shipment.
- Completes the item to stock location on computer. Looks up stock number to identify sales order and shipping instructions. Verifies information with appropriate territory representative (TR).
- Prepares necessary shipping documents manually or on automated systems and performs necessary system transactions as needed.
- Coordinates pick up and tracks shipments of various freight carriers.
- Files paperwork supporting shipping procedures.
- Maintains cleanliness and orderliness of shipping area.
- Filling and scanning of shipment document.
- Investigates and / or fixes issues/problems.
- Adhere to organizational requirements on quality management, health and safety, code of conduct, legal stipulations, environmental, 5S policies and general duty of care.
- Maintain confidentiality of all information related to the production processes and components, business and other technology including materials.
- Other duties as assigned.
- Location: alternate work locations of external logistics (Bayan Lepas or Penang Science Park, Simpang Ampat.
- Work in standard office environment and used office equipment (phone, PC, copier, fax machine etc.)
- Required for unit identification.
- Basic knowledge of MRP and Logistics Systems.
- Good written and verbal communication skills.
- Basic mathematic skills.
Essential:
- One (1) to Three (3) years of experience as a clerk.
- Prefer experienced in Logistic/Shipping.
Essential:
- High school education or a combination of relevant experience and/or education that is equivalent to a Diploma / Bachelor’s Degree.
- Prefer multiple SAP R/3 Logistics module certifications.
- Prefer certification in Windows, Excel, and Word and / or equivalent experience at an intermediate level.

Job Description
- Assist in coordinating vessel schedules, cargo loading/unloading, and port activities.
- Prepare and process shipping documents (Bill of Lading, Delivery Orders, Manifests, Customs forms).
- Liaise with customers, shipping agents, hauliers, and port authorities on shipment status.
- Monitor container/equipment control and update operational systems.
- Ensure compliance with shipping regulations and company policies.
- Provide administrative and reporting support to the Operations team.
Qualifications & Requirements
- Diploma/Degree in Shipping, Logistics, or related field (fresh graduates may apply).
- Knowledge of shipping documentation and port procedures preferred.
- Proficient in MS Office; experience with shipping systems is an advantage.
