Job Responsibilities

CRM Management & Data Operations

This position is responsible for managing the end-to-end daily revenue operations, including the computation and accrual of revenue and cost of sales, client billing, and receivables management following and complying to the applicable internal company policies, guidelines, standard operating procedures. It involves performing monthly revenue analysis, supporting regulatory and Group reporting in accordance with regulatory and Group reporting requirements, and ensuring accurate tagging of Fund Under Management. This position liaises with Clients and auditors, supports internal controls and audits, and ensures timely trade expense payments. A key focus is on driving process improvements, automation, and participating in finance-related projects to enhance reporting accuracy and operational efficiency.

  • Understand the structures of the various funds and the related fees/expenses and perform/review the necessary computation of revenue and cost of sales.
  • Responsible for prompt billing to the Clients as well as prompt collections of receivables.
  • Responsible for recording the accounts receivables as well as revenue and cost of sales accruals and ensure all relevant details are included (e.g. fund code, channel, and intercompany entity) to ensure that meaningful revenue/product/channel/business line analysis.
  • Work with the Accounts Payable team to ensure payments to vendors are made on time and accurately.
  • Responsible for Group reporting of revenue related items.
  • Ensure the Fund Under Management are correctly recorded and tagged in the system.
  • Perform monthly revenue analysis by product.
  • Liaise with Clients to address revenue queries and ensure timely collections.
  • Handle regulatory reporting and monitoring, particularly on the revenue aspect.
  • Support internal audit, risk controls and any ISAE audit for revenue operations.
  • Ensure adherence to effective and robust internal controls for the various revenue areas.
  • Liaise with auditors for financial audit.
  • Provide guidance and motivate team member to work together to meet deadlines and key deliverables.
  • Actively seek to deliver improvement in data, processes and output and streamline/automate existing workflows and processes.
  • Participate in ad hoc Finance initiatives or projects.

Requirements:
  • Bachelor or Degree in finance, accounting, or a related field.
  • Internationally recognized accounting qualification (ACCA, CPA, CA, ICAEW, etc.) or working towards designation will be an added advantage.
  • At least 8 years of commercial working experience.
  • Prior experience from Big 4 audit firm and /or financial services industry especially Fund Management would be preferred.
  • Effective communication skills (verbal and written).
  • Ability to multi-task, prioritize and meet deadlines.
  • Willing to work on ad hoc requests when necessary.
  • Meticulous, hands-on, independent and resourceful in solution delivery.
  • Energetic, positive and consistent, even under pressure.
  • Driven and self-motivated individual with an acute sense of commercial awareness.

Job Qualifications

KNOWLEDGE REQUIREMENTS

  • Strong knowledge of global and regional machining operations and semiconductor capital equipment industry. A Plus if candidate also has experience in Frame Fabrication and welding operations.
  • Strong proficiency in determining requirements to enable company’s business goals and objectives with ability to develop and operationalize a plan to achieve targets.
  • Strong financial and analytical ability. Proficiency in managing business analytics to determine optimum resource planning.
  • Proven track record of successful change management accomplishments, implementing and management continuous productivity and cost reduction programs.
  • Strong written and verbal communication skills. English is a requirement.
  • Proficiency in use of personal computers, Microsoft Office products (Excel, Word, and PowerPoint) and e-mail skills required.

Education & Experience Requirements

  • Bachelor’s degree from four-year college or university required. Master’s degree preferred.
  • Minimum four (4) years related work experience with a high-volume contract manufacturing company.
  • Extensive experience working directly with customer and developing the customer relationship.

About You

We are looking for an experienced Business Operations Manager to oversee end-to-end operations, manage a team of 4, and ensure alignment with regulatory standards (JPK and HRD Corp). The ideal candidate will have deep expertise in TVET program compliance, grant management, financial operations, and team leadership. This role requires a strategic thinker who can streamline processes, manage cross-functional tasks, and maintain strong stakeholder relationships.

Your Day-to-Day

1. Team Leadership & Management
  • Lead, mentor, and manage a team of 4 across TVET and HRD Corp training operations.
  • Foster a collaborative culture, delegate tasks effectively, and ensure accountability.
2. Compliance & Regulatory Management
  • Ensure full compliance with JPK requirements for TVET programs (documentation, audits, reporting).
  • Maintain HRD Corp standards for training grants, claims, and program delivery.
  • Stay updated on regulatory changes and implement necessary adjustments.
3. Financial Operations
  • Manage invoicing, petty cash, procurement (PR/PO coordination), and budget tracking.
  • Collaborate with finance teams to ensure accurate financial reporting.
  • Oversee HRD Corp grant applications, claims, disbursement and reconciliation.
  • Ensure timely submission of grant-related documentation and adherence to guidelines.
4. Contract & Document Management
  • Draft, review, and validate contracts (apprentice, vendors, trainers, partners).
  • Maintain organized records of agreements, terms, and compliance documents.
5. Student & Training Coordination
  • Oversee student enrollment, attendance tracking, and certification processes.
  • Coordinate logistics for training programs (venue, materials, trainer schedules).
6. Facilities & Office Management
  • Ensure operational efficiency of training facilities and office infrastructure.
  • Address maintenance needs and optimize resource allocation.
7. Project Management & Reporting
  • Lead cross-functional projects (e.g., accreditation renewals, system implementations).
  • Prepare operational reports for senior management and regulatory bodies.

Your Know How

  • Bachelor’s degree in Business Administration, Education, Operations, or related field.
  • Minimum 5 years in operations management, preferably in TVET/HRD Corp environments. At least 2 years in a managerial role with team oversight.
  • Strong leadership, communication, and problem-solving abilities.
