  • At least 2 years of experience for the Operations Coordinator role, and
  • A minimum of 6 years of experience for the Operations Specialist role,

to join our team at our KL Sentral office in Malaysia. In this role, you will provide professional, high-quality assistance to customers before, during, and after their requirements are met. The role emphasizes supportive management and strong operational procedures to ensure responsiveness to customer needs while supporting the achievement of commercial goals. Main Roles and Responsibilities:

  • Provide excellent customer care and maintain a high customer retention rate through phone and written communication by efficiently and proactively addressing and responding to customers and their concerns.
  • Interact with our customers in arranging their shipments, exceeding customer care expectations.
  • Liaise directly with incumbent customers to request shipments, ask for optimization and revenue enhancement opportunities.
  • Liaise and maintain strong relationships with suppliers and stakeholders.
  • Review customer complaints by analysing each complaint and note larger trends to take appropriate action.
  • Document all customer interactions.
  • Ensure each shipment generates maximum contribution to the company by meeting the required service level at the lowest possible cost.
  • Ensure smooth and timely freight process flow, maintain and file all records according to company procedures.
  • Ensure accurate and timely data entry into our operating system.
  • Track and trace shipments as required.
  • Ensure timely movement and delivery of freight to customers.
  • Ensure documents are sent to customers or brokers for customs purposes on time.
  • Assist colleagues in business development, sales, and operations to establish, interpret, and understand SOPs (Standard Operating Procedures) and collaborate with colleagues abroad on quotations, customer/product knowledge, and solution finding.
  • Constantly review working processes with carriers and other providers to ensure best practices and competitive fees.
  • Challenge current workflows and optimize procedures for internal and customer benefit.
  • Design local logistics solutions and collaborate with colleagues internally and abroad to create new revenue streams.
  • Maintain overseas communications, provide timely responses to emails and requests (internal and external).
  • Ensure compliance with regulations, including internal policies, operational standards, and external government regulations or customer requirements.
  • Assist in creating and presenting useful customer reports and statistics to relevant stakeholders.
  • Create and distribute marketing materials in collaboration with the communications team and assist in business development, product events, and campaigns.

Job Overview

  • Lead operations of a plant with approximately 1.5-2.0K employees composed of direct, indirect, and salary staff.   • Attract, select, develop, train, coach, appraise, and motivate managers and other personnel in key staff positions within the facility.

Job Criteria

  • Knowledge of current technologies in manufacturing (automation/manual assembly, stamping, molding, testing), engineering, NPI, materials management/inventory control, distribution and logistics, purchasing, quality assurance, EHS systems processes and practices.
  • Strong financial and business acumen.
  • Strong collaborative skills with the proven ability to drive change and leadership ownership/accountability.

What your background should look like

  • Bachelor’s degree from an accredited institution.
  • Minimum of 15 years of experience with progressive levels of accountability and responsibility in Manufacturing, Supply Chain, OPEX and/or related supporting functions.
  • Strong knowledge and experience with lean manufacturing, and process tools such as profit planning, strategic planning, Organizational Capability Assessment, Lean System/Six Sigma, Supply Chain Management, Fixed Capital Optimization, Environmental, Health and Safety (EHS) processes.

  • Undertake CSO duties and Monitor Ship Security Plans, CSR & ISSC. Review ISPS reports and arrange Ship Security Drills. Provide advisories against piracy, robberies, pilferage, and stowaways.
  • Monitor cargo and ballast plans to ensure compliance with SMS.
  • Carry out a thorough RA for critical and non-routine jobs.
  • Carry out ship visits as and when required.
  • Monitor rest hours of the crew and highlight any action required or support to be given to ship’s staff.

Job Requirements

  • To have Master’s F.G. Certificate of Competency, with about 2 years of sailing experience as master of ocean-going tankers – Oil/Chemical, including Veg oil and such heated cargoes.
  • Min 2 years of shore-based experience in ship management or ship owner for tankers
  • Possess good tanker, chemical operational knowledge, and communications skills
  • Good leadership qualities, team player & strong commitment to safety/compliance procedures are essential
