Overview of the Role
Reporting directly to the Country General Manager, the Head of Operations will be responsible for overseeing the full spectrum of logistics and supply chain operations—including transportation, warehousing, freight, distribution centers, and field services. This position plays a key role in managing relationships with key clients and third-party logistics (3PL) providers while ensuring service excellence and regulatory compliance.
Key Responsibilities
Operations Oversight
- Lead daily operational functions across transportation, warehousing, and field service.
- Supervise distribution center performance, including those in East Malaysia.
- Ensure cold chain and HALAL compliance where applicable.
Warehouse & Distribution Management
- Optimize warehouse operations for capacity, cost, and compliance.
- Set SOPs aligned with regulatory and quality standards.
- Address operational issues such as cost overruns, process bottlenecks, and service gaps.
- Lead strategy for expanding business capabilities and capturing new market opportunities.
Transportation & Fleet Management
- Manage nationwide routing and deliveries to 300+ retail outlets.
- Maintain and optimize a fleet of over 30 trucks.
- Drive initiatives to reduce transportation costs while ensuring service reliability.
- Oversee daily freight activities, particularly in the export market.
- Ensure cost-effective freight strategies while maintaining profitability.

Field Services
- Lead logistics support for store rollouts and nationwide delivery efficiency.
- Oversee routine capacity assessments and optimization projects in partnership with clients.
Financial & Strategic Planning
- Prepare and manage departmental budgets and overall P&L performance.
- Develop long-term strategies for operational scalability and revenue growth.
- Support investment decisions in logistics infrastructure, tools, and human capital.
Client & Stakeholder Management
- Act as the key point of contact for strategic clients including major F&B chains.
- Maintain high service levels and proactively resolve client-related issues.
- Promote cost-saving and service-improvement initiatives to key accounts.
- Inspire and lead a team of managers across various logistics functions.
- Develop KPIs and performance management systems for direct reports.
- Drive talent development initiatives including training in continuous improvement methodologies.
Required Qualifications & Experience
- A Bachelor's degree in Business, Logistics, Supply Chain Management, or a related field (MBA preferred).
- At least 5 years of relevant senior-level experience in operations, ideally within the logistics or supply chain sector.

Key job responsibilities
Logistics Specialists are expected to understand all aspects of transportation, shipping and receiving as well as inventory control, adhere to strict safety standards, maintain very high quality, and be willing and able to work on powered equipment (i.e server lifter).
- Completing manual tasks, such as assembling, addressing and arranging for the shipment of materials, handling incoming shipments, unpack boxes and verify contents
- Load and unload large equipment utilizing pallet jacks
- Maintain accountability of in-stock components as well as receive and process inbound shipments
- Assist with ongoing requests to ensure that proper stock levels are maintained and distributed to all locations to support build and repair activities
- Working with the Logistics Manager, create plans to optimize the flow and delivery of parts through their lifecycle; tracking inventory locations and movement.
- Working closely with Datacenter Operations Technicians to fulfill parts and equipment deliveries quickly and accurately

A day in the life

- Most of the work will be inside an office/storage room with air conditioning and computer. Occasionally will happen to work outside for shipment support.

Purpose of the JobThis role is responsible for delivering high quality customer service to support our growth and Toll’s customer experience. This role is responsible for the delivery of high-quality customer service to drive customer satisfaction, customer retention and through that overall business success.
Primary Duties & Responsibilities- Support refugee clients, and their families to understand the service scope and case life cycle including the management of, and attendance at, critical service appointments.
- Provide direct, in-person support at service appointments as required, including medical examinations and airport departures.
- Work alongside the Logistics Coordinator as a member of the logistics team in Malaysia and support the Logistics Coordinator with host country government agency interface, specifically the Malaysian Immigration Department to facilitate and support our clients with local regulatory requirements, including the exit permit applications.
- Attendance at the Australian High Commission in Kuala Lumpur to take possession of IMMI Cards when the Logistics Coordinator is not available and to ensure these are safely held and distributed to assigned refugees prior to travel to Australia.
- Partner with suppliers and subcontractors in Malaysia to ensure the services provided are of the highest standard and in line with contractual requirements.
- Collaborate, communicate and coordinate with a remote team of case managers.
- Tertiary qualifications in a relevant field such as supply chain management, humanitarian logistics, business development, or leadership.
- Advanced use of the MS Office Suite, in particular Word, Excel and Outlook.
- Ability to work flexible hours recognizing that some services may be delivered outside of regular business hours (essentially Airport related activities).
- You will be a motivated professional, fluent in English and Malay (written and verbal) with a strong ability to form effective working relationships and to deliver high performance outcomes. Ability to speak a language/s of the refugee populations that we work with is desirable.
- Be a strategic thinker who is solutions focused with the ability to problem solve situations at short notice.
- Full Driver’s License and a desire to provide exemplary support and assistance to our clients.
