Supervises and schedules the shipping and receiving processes to ensure efficient handling, storage, transportation, and delivery of shipments and goods.

Job Requirements

• Responsible for daily operations related to manufacturing requests (Kanban/Kitted Factory Orders).
• Defines objectives, hourly results, and productivity for warehouse operators, and determines the best course of action to meet scheduling or resolve technical issues.
• Translates customer requirements into innovative supply chain strategies and processes, resulting in cost-effective operations and product distribution.
• Manages plant escalation processes to ensure schedules are maintained. Works with other departments for support, communicating operational status and requesting assistance when needed.
• Ensures sufficient work resources to successfully meet production requirements and ensures those resources are properly trained and utilized to their full potential. Work flexibility is a key initiative implemented in the plant.
• Monitors operations alongside the EHS coordinator to ensure compliance with safety and environmental regulations and specifications.
• Leads continuous improvement actions and concepts with the plant team, supporting them through PIM and tier processes.
• Ensures compliance with attendance, vacation, and safety policies. Maintains attendance records and vacation schedules for Logistics Associates.
• Participates in Safety and Emergency Action Committees as needed.

As part of the Global Supply Chain Process and Systems team, the role works closely with the business users and other stakeholders to support the definitions of the global Logistics process and system standards and optimisation i.e. Logistics EDI (Electronic Data Interchange), delivery management platforms, enabling end-to-end logistics including last mile delivery operations.

This is a global role and is expected to be very autonomous in supporting and working with teams to deliver solutions.

Support Logistics COE to perform problem investigation, evaluation, and solution implementation.

Information and data gathering on system pain points, work with users on problem statements and value identification.

Carry out system evaluation including industry research as required.

Participate and support implementation activities including documentation e.g. use cases and user stories, process design, system specifications, preparation of workplan, work packages, capturing minutes as well as follow-up actions with the assigned owners.

Map/ update current processes and 3PL Logistics region/ market operations journeys.

Create/ update the RACI charts, process documentation e.g. business requirement definitions, process catalogue, process specifications.

Create/ update the process and systems onboarding documentation.

Support the on-going run of logistics systems including troubleshooting, perform root-cause analysis, incident resolutions, enhancement, and testing activities.

Presenting system incidents and resolutions to key stakeholders. Support demand management and prioritisation as required.

Produce regular key performance indicator reporting, track, and analyse key performance indicators (KPIs) to evaluate the effectiveness of Logistics processes and system utilisation.

Tertiary education in supply chain management, information technology, or a related field.

Minimum 7 years of experience in Logistics and warehousing operations, preferably have worked in the third-party logistics (3PL) setting or organisations e.g. DHL.

Good experience in documentation, mapping of the business processes, understanding the process hierarchy, including dependencies across processes and systems.

Preferably proficiency in SAP Logistics/ EDI, Signavio, Delivery Management Platform such as Aftership/ Centiro/ ParcelLab or alternatively in other Logistics systems.

Strong experience in project delivery lifecycle, understanding key stages of required work and activities i.e. requirement gathering.

Demonstrated ability to work with the cross-functional teams, including IT, business process owners, and other stakeholders.

• Receive and act on instructions from customers regarding receiving/delivery schedules.
• Verify that goods received match the Packing List after warehouse operations have checked the goods.
• Request PO/Invoice/Packing List as needed and generate the documents.
• Understand and communicate any special requests or requirements made by customers to relevant personnel.
• Update and resolve issues that warehouse operations may not be able to comply with or meet deadlines for.
• Provide reports or status updates as requested by customers.
• Update WMS for every transaction such as receiving, delivery, and transfer location.
• Issue inventory and movement reports from WMS monthly or as needed.
• Regularly check and follow up on email correspondence with customers and other related parties.
• Update daily movement reports using MS Office software.
• Ensure monthly KPI reports are updated on time.
• Generate invoices for customers based on inventory reports.
• Perform cost updates in the system and provide provision costs where necessary.
• Complete and verify all job files for the month within the month-end closing period.
• Ensure all files are sorted and filed properly, with relevant details recorded.
• Communicate incoming/outgoing plans to warehouse operations staff and resolve any arising issues.
• Discuss and report any problems where operations cannot meet customer requirements.
• Follow up with relevant staff on jobs in progress to ensure customers are updated accordingly.
• Provide timely information/data to the Billing Section to ensure invoices are raised on time.
