- Takes accountability in considering business and regulatory compliance risks and takes appropriate steps to mitigate the risks.
- Maintain awareness of industry trends on regulatory compliance, emerging threats and technologies in order to understand the risk and better safeguard the company.
- Highlight any potential concerns /risks and proactively shares best risk management practice.

We are looking for people who
- Preferably Diploma / Degree in Property Management, Real Estate Management, Building, Business Administration or Engineering.
- Minimum 6 years experience in areas related to property management, operations, marketing, leasing and building maintenance.
- Ability to strategize and convert spaces to suit market needs to generate income
- Exposure to the Strata Management Act (Act 757) is an advantage
- Ability to manage demanding tenants
- To build agent and landlord relationship at branches level
- Good public relations, negotiation and analytical skills.
- Good knowledge in marketing, leasing, tenancy administration and standard market practice of commercial properties.
- Good rapport with marketing agents and consultants to source for information.

Your Day-to-Day
Store Network Expansion
- Identify and evaluate strategic retail sites for new store openings.
- Conduct site visits, feasibility studies, and trade area assessments.
- Build and maintain strong networks with landlords, developers, and agents to secure prime opportunities.
Lease Negotiations & Cost Optimisation
- Negotiate new leases, renewals, and rent reviews to secure favourable terms.
- Implement cost-optimisation measures, including rental restructuring and space utilisation planning.
- Review and ensure lease agreements protect company interests and provide operational flexibility.
Regulatory Liaison & Licensing
- Liaise with local authorities, including BOMBA, Ibu Pejabat Polis, and local councils, to obtain and renew business licenses, second-hand goods licenses, and other operational permits.
- Coordinate with internal teams to ensure timely submission of documents and compliance with local regulations.
Portfolio Management
- Maintain accurate records of all lease agreements, key dates, renewal options, and financial commitments.
- Monitor lease expiries and initiate renewal or relocation discussions well in advance.
- Provide recommendations on underperforming locations, including relocation or closure strategies.
Market Intelligence
- Monitor retail rental trends, competitor activities, and market developments.
- Prepare market insights and recommendations for management decision-making.
Insurance Coordination
- Possess basic understanding of property and automotive insurance policies.
- Coordinate with insurance providers and internal stakeholders to ensure adequate coverage and compliance.
- Assist in claims-related documentation where required.
Cross-Functional Collaboration
- Work with Operations, Marketing, and Finance to ensure property strategies support business objectives.

Your-Know-How

Responsibilities- Daily Operational Monitoring: Oversee day-to-day operations, ensuring smooth functioning and adherence to standards.
- Team Supervision and Coordination: Lead and coordinate BDA team members to achieve department goals and deliver quality results.
- Performance Assessment and Feedback: Evaluate team performance and provide constructive feedback for improvement.
- Operational Procedures: Establish and enforce protocols to maintain efficiency and consistency.
- Training and Development: Support team members' growth through guidance and resources.
- Reporting: Regularly update the manager on operational status and performance metrics.
- Contract Management: Prepare, review, and summarize tenancy agreements, ensuring accuracy and compliance.
- Renewal Monitoring: Track renewal timelines, prepare reports, and serve renewal notices to landlords.
- Utilities Management: Monitor utility applications and payments, coordinate with tenants and finance, and ensure timely payments.
- Project Management: Collaborate with various departments to ensure timely delivery of projects and new outlets.
- Business Support: Liaise with other departments for matters like deposits, payments, licenses, and insurance.
- Local Authority Liaison: Coordinate with authorities, developers, architects, and consultants as needed.
- Sales and Performance Monitoring: Assist in analyzing outlet sales and overall performance.
- Team Efficiency: Support the development of team members and prepare monthly progress reports.
- Additional Duties: Perform other duties as assigned to meet organizational needs.
Qualifications & Experience
- Diploma or Degree in any discipline, or equivalent qualifications.
- Minimum 2 years of relevant experience.
- Ability to read and analyze agreement terms.
- Strong business writing skills, including letters and minutes.
- Proficiency in Microsoft Office.
