RoleAs an Events Coordinator, you will be the operational heart of our projects — working closely with clients, internal teams, vendors, and on-site staff to ensure every event runs smoothly from conception through execution and post-event wrap-up. You will be actively involved in logistics, scheduling, stakeholder coordination, quality control, and troubleshooting in real time. You will report to the Events Manager / Project Lead and collaborate cross-functionally with sales, marketing, creative, and production teams.
Responsibilities- Assist in the conceptual planning and execution of events (corporate, experiential, launches, brand activations, conferences, etc.)
- Develop detailed event schedules, run-sheets, floor plans, and production plans
- Liaise with clients to clarify objectives, expectations, technical requirements, and on-site logistics
- Source, negotiate, and manage relationships with vendors, suppliers, venues, contractors (AV, lighting, F&B, décor, staging, transportation, etc.)
- Coordinate permits, licenses, insurance, and compliance with local regulations
- Oversee event budgets, track expenditures, and assist in cost-control / procurement
- Lead site inspections, venue checks, layout planning, and logistics walk-throughs
- Coordinate on-site team (staff, volunteers, subcontractors), ensuring roles and responsibilities are clear
- Troubleshoot issues on-site in real time, making swift decisions to maintain service quality
- Manage post-event wrap-up: debriefs, feedback collection, reporting, reconciliations, and vendor payments
- Maintain and organize event documentation, timelines, vendor contracts, risk assessments, and checklists
- Support marketing / creative teams by coordinating event collateral, signage, communications, and branding elements
- Bachelor’s degree or diploma in Event Management, Marketing, Business, Hospitality, Communications, or equivalent
- At least 2–4 years of relevant event coordination / project support experience (agency or in-house)
- Proven track record handling medium-to-large scale events, preferably in Kuala Lumpur / Malaysia
- Familiarity with local vendors, venues, regulatory environment, and event logistics
- Strong organizational skills, attention to detail, multitasking ability under pressure
- Excellent communication skills (written & verbal); bilingual (English + Malay) is a plus
- Solid negotiation and vendor management capability
- Financial acumen: experience in budgeting, costing, expense tracking
- Comfortable working flexible hours, including nights, weekends, and during events
- Proficiency in MS Office (Excel, PowerPoint, Word)
- Ability to travel locally and be on-site frequently
