Job Responsibilities

  • Handle daily administrative tasks to ensure smooth centre operations.
  • Act as the front desk receptionist, welcoming and assisting students and visitors.
  • Coordinate student inquiries, registration, and class scheduling.
  • Manage student records and follow up on learning progress.
  • Assist with course sales by providing consultation and information to prospective students/parents.
  • Support the teaching team and management with ad-hoc tasks.

Requirements

  • Fluent in both Mandarin and English (spoken and written).
  • Strong communication, interpersonal, and organizational skills.
  • Friendly, professional, and customer-oriented.
  • Willing to learn, proactive, and able to work independently.
  • Prior experience in administration, reception, or sales is an advantage.

Job Description

The Academic Capability and Conduct Advisor is responsible for identifying and supporting at-risk students through early intervention strategies, providing academic skills development, ensuring academic integrity, managing academic misconduct processes, and addressing general misconduct matters in accordance with policies and procedures.

DUTIES
  1. Early Identification and Intervention
    • Continuously monitor students’ academic performance, attendance, and engagement to detect signs of academic or personal difficulties.
    • Implement structured processes to identify at-risk students and formulate personalized ‘Pathway to Success’ plans aimed at enhancing academic progress.
    • Utilise learning analytics tools and faculty referrals to accurately flag students requiring additional support.
    • Proactively engage with flagged students to discuss academic progress, set goals, and address challenges effectively.
    • Provide consistent tracking and tailored support to Conditional students, students reprieved from termination and those on Student Progression Agreements, ensuring their enrolment in relevant support programs offered by Curtin University or Curtin College.
    • Assess the effectiveness of support measures provided to students on Conditional and Reprieved from Termination statuses, making adjustments where necessary.
    • Regularly monitor and ensure the accuracy and relevance of materials available on the Curtin College support unit, StudyKiosk’ and ensure students who needs access to the unit are enrolled in it.
    • Track attendance, engagement, and completion of students participating in academic support programs (e.g., English Support Program, Academic Language Enrichment Program, SUCCESS, Advanced SUCCESS) and report progress to the Results and Assessments Team.
    • Monitor students’ progress following interventions to assess improvement and provide additional support if necessary.
    • Maintain detailed records of support provided to ensure accountability and continuous improvement.
    • Continuously review and adjust individual support plans based on performance and progress.
    • Evaluate the effectiveness of interventions and recommend improvements where needed.
  2. Academic Skills Development
    • Provide expert guidance through individual or group sessions focused on developing essential academic skills, including academic writing, communication, and examination preparation.
    • Design and deliver workshops to educate students on academic integrity, policies, collaborative work expectations, and ethical research practices.
    • Maintain comprehensive records of all academic support programs provided.
    • Assess the effectiveness of academic support initiatives and refine programs based on feedback and student engagement metrics.
  3. Collaboration with Other Support Services
    • Liaise with relevant support services, including counselling and financial aid, to provide holistic support to students.
  4. Academic Integrity Management
    • Plan, develop, and deliver workshops on academic integrity for students, academic staff, and professional staff utilizing diverse and effective learning strategies.
    • Provide comprehensive education on plagiarism, referencing, the appropriate use of Generative AI tools, paraphrasing, time management, and proper academic conduct.
    • Offer guidance to students who have breached academic integrity policies, providing clear explanations of violations and their implications.
    • Conduct confirmation checks or inquiry sessions with students to establish the facts of alleged breaches.
    • Develop frameworks and standard operating procedures for managing academic misconduct in line with policies of Navitas English, Curtin College, and Curtin University.
    • Collaborate with staff at Curtin Singapore and liaise with key personnel at the Perth Campus to address academic integrity and misconduct cases effectively.
    • Ensure the communication of outcomes and sanctions to students is handled with clarity, sensitivity, and professionalism.
    • Review and process academic misconduct cases, maintaining consistency and adherence to stipulated timelines.
    • Maintain meticulous records of academic misconduct cases and outcomes, ensuring information confidentiality and access on a strictly need-to-know basis.
  5. General Misconduct
    • Provide expert advice to staff and students regarding general misconduct processes and expected standards of conduct.
    • Ensure all general misconduct cases are managed in accordance with the policies and procedures of Curtin University, Curtin College, and Navitas English.
    • Review, document, and process potential general misconduct cases through appropriate channels, ensuring thoroughness and consistency in outcomes.
    • Maintain comprehensive and accurate records of general misconduct cases and their resolutions.
    • Ensure all misconduct matters are handled with strict confidentiality, with information shared only on a need-to-know basis.
  6. Academic Status Management
    • Manage student appeals related to academic status by providing clear and detailed guidance on appeal procedures.
    • Support academic appeals committees by gathering relevant documents and providing accurate background information.
    • Clearly communicate appeal outcomes and subsequent steps to students in a timely manner.
    • Update and maintain student academic status records within relevant student management systems, ensuring accuracy and consistency.
    • Document all support plans, communications, and appeal outcomes for audit and tracking purposes.
    • Participate in Board of Examiners meetings, providing essential information and recommendations for academically at-risk students.
  7. Others
    • Ensure that the policies and procedures relating to academic misconduct and general misconduct are communicated to all students and reviewed regularly for continual improvement.
    • Review the student learning support and development process, including intervention measures, to ensure students achieve the desired learning outcomes and for continual improvement.
    • Provide periodic progress reports on academic achievements to parents/guardians for students who are minor.
    • Work with the Assessments Department to ensure that the code of conduct for students and invigilators to ensure academic integrity, including reporting and managing academic dishonesty are communicated.
    • Be involved in audit preparations and interviews conducted by local regulators or course providers.
    • Any other duties assigned by the Director of Academic Services.
